Our client, an established equipment dealership, is seeking Rental Coordinators to keep a fast-moving rental business organized across New England. Every rental creates a chain of commitments involving equipment, timing, transportation, pricing, service readiness, and customer expectations. You will bring those pieces together so each commitment moves forward with clarity.

You will maintain a current view of active and upcoming rentals, recognize scheduling conflicts before they affect the customer, and help the branch respond when circumstances change. This position is well suited for someone who thinks several steps ahead, communicates clearly, and can bring order to a high volume of time-sensitive activity.

Your Mission:

  • Maintain a reliable view of where rental equipment is assigned, when it is expected to move, and what commitments are approaching
  • Turn each customer request into an executable plan that connects the correct machine, rental period, commercial terms, and transportation needs
  • Review upcoming departures, returns, and extensions to identify conflicts before they interrupt branch activity
  • Protect rental revenue by ensuring duration, transportation, equipment condition, and other chargeable elements are reflected accurately
  • Serve as the connection point among customers, rental sales, service personnel, drivers, and outside transportation resources
  • Adjust plans quickly when fleet availability, site readiness, transportation capacity, or customer timing changes
  • Create clear internal handoffs so everyone involved understands the next action and the commitments made to the customer
  • Maintain a dependable record of approvals, schedule changes, account information, and other decisions within the company’s business systems
  • Assess incoming equipment concerns by urgency and guide each issue toward the people best equipped to resolve it
  • Retain ownership of open questions and complications until the customer has received a clear answer
  • Prepare customers for a successful rental by clarifying expectations before equipment leaves the branch
  • Recognize recurring causes of delays, billing confusion, and customer frustration and bring those patterns forward for improvement
  • Organize rental and account information into useful summaries that support planning and customer conversations

A Few Qualifications:

  • 1-3 years of experience coordinating customer transactions or operational workflows in a time-sensitive environment
  • The ability to manage several active commitments while adjusting quickly when circumstances shift
  • Strong accuracy when working with customer records, commercial details, schedules, and financial information
  • Confidence using business software and learning the capabilities and applications of an equipment fleet
  • Clear and steady communication with customers, coworkers, drivers, and outside service providers
